Printing for staff
The Staff Managed Print Service (MPS) offers A3 and A4, black & white, and colour printing from any Mac or PC provided by UNSW to staff.
Adding a printer泭
Adding a printer is quick and easy. Follow our step-by-step guide to ensure a seamless setup and start printing from your devices in no time.

Adding a printer - Windows
- Open the Control Panel on your Windows computer.
- Navigate to View devices and printers under Hardware and Sound.
- At the top of the window, select Add a printer.
- In the Add a device window, click on泭The printer that I want isnt listed.
- In the Add Printer window, select Select a shared printer by name.
- For a Lexmark printer, type:泭泭queue name
楚單硃鳥梯梭梗:泭 - For a Fuji Xerox printer, type:泭泭queue name
- For a Lexmark printer, type:泭泭queue name
- 唬梭勳釵域泭Next. If prompted with,泭Do you want to allow this app to make changes to your device, select泭Yes. Follow the prompts to complete the installation.
Adding a printer Mac
The following steps are for use on a UNSW-provided Mac. This process uses the UNSW Self Service App, which is installed on all UNSW Macs. If Self Service is not installed or you're unsure if your Mac was issued by UNSW, please contact the for further assistance.
If you're using your own device, please continue to follow the self-serve instructions.
- Open the Self Service App from your Dock or the Applications folder.
- In the Self Service window, click on Printers under Bookmarks on the left side of the app.
- Click Install or Reinstall for the printer group that best matches your location or department.
- Note: You may see multiple printer groups depending on your role. Selecting several installations here wont harm your system.
- Once installation shows "Done", go to System Preferences from the Apple logo in the top left corner of your screen.
- In System Preferences, select Printers.
- Check if your desired printer appears in the list of newly added printers.
- Note: If your printer isn't listed, return to step 3 and try installing another printer group. If no more groups are available, go to the 'Still Need Help?' section to log a ticket with the Service Desk for assistance.
- Note: If you're unsure of the printers name, refer to the Finding A Printer's Name section on this page.
- Right-click or secondary-click on your desired printer from the list. You can set the newly added printer as your default printer from the menu.

Depending on where the printer is located, its name will be visibly displayed on the printer itself. The name typically includes a faculty or division identifier, followed by a hyphen, two letters, and three numbers. Below are some examples of printer names found around UNSW:

Note: At UNSW, you can't scan directly to a computer. You scan using one of the staff MPS printers to email yourself the digitised copy.
- Access the touch screen on the printer.
- Press Scan To Email.
- Enter the email address you wish to send the document to.
- Place the document:
- Face down on the scanner glass (top left corner - portrait orientation), or
- Face up into the document feeder (portrait orientation) if scanning individual A4 sheets.
- Press "Start" or the green button.
- Press "Send" on the screen.

If a printer is low on or out of paper or toner, the MPS team needs to check the issue. To get help, you need to .
If you notice a printer is often out of supplies, let the MPS team know. This might mean the printer's details have changed (like moving to a new location) without informing MPS. Accurate printer details are important because supplies are automatically ordered when they run low. These supplies are delivered and installed directly at the printer. If the printer's details are incorrect, it won't get restocked properly.

If you no longer need a printer in a certain location, inform the MPS team so they can assist with relocating it. To do this, please through the IT Service Desk.泭

By default, Macs use Apples Preview app to open PDF files, which can cause issues with our printing systems. All UNSW Macs have Adobe Acrobat DC installed, which should be used for printing PDFs with our staff printers.
To change the default app for opening PDFs, follow these steps:
- Navigate to any PDF file on your Mac.
- Right-click or secondary-click on the file.
- Select Get Info from the pop-up menu.
- In the file info window under Open with, choose the drop-down menu currently set to Preview.
- Select Adobe Acrobat from the drop-down menu.
- Note: If Adobe Acrobat is not listed, it may not be installed on your system. For assistance, please navigate to the 'Still Need Help?' section at the bottom of the page to log a ticket with the Service Desk.
- After selecting Acrobat, click on the Change All色 button below.
- From now on, all PDF files will open with Acrobat, preventing printing issues caused by Preview.
Staff MPS printer maintenance & general advice泭
- Power-saving functions: Staff printers have automatic power-saving functions. Turning off the power can disrupt proactive monitoring and automatic restocking of consumables.泭
- Reallocating printers: Contact the IT Service Centre if a printer needs to be reallocated. Reallocation changes the delivery details of consumables and location data must be updated to ensure uninterrupted resupply services.泭
- Toner usage: Use the delivered toner only on the designated printer to avoid affecting the low toner alert system.
